OfficeCavalry.com allows Project Owners to 'view and select' Freelancers and/or post a project to categorised individuals to maintain the highest quality of candidate selection and to avoid a 'Dutch Auction' on price that ultimately drives down the standard of work.

If you have a deadline or set time frame to implement your project, the single most important action to effectively evaluate a Freelancer is your initial search to establish the candidates that best meet your project criteria. This search is driven by function, skills, levels of experience, rating, budget, if the individual is available to work, and/or online to chat or interview.

OfficeCavalry.com has implemented bespoke search engine functionality with advanced algorithms to assist you, through filtering processes, to select the best available candidates for your assignment, ensuring that you are in control of procedures, and by using the tools available can choose the best individual for your project without the distraction of having to view candidates based on poor or inadequate bid submissions.

When you have selected an individual, or indeed several, you can then control how and when you shortlist and interview them using the communication channels within your dashboard. At any time, you can forward to them your project brief and, through ongoing communications, agree the timelines, specification, budget for the project, and the method of payment. Once a 'handshake' has been agreed, you will be in a position to engage the Freelancer to commence your assignment. However, this can only be achieved when you have both followed the OfficeCavalry.com payment service process and you have deposited money into the segregated client account within the Escrow service. It is at this stage, when funds are cleared into Escrow, that OfficeCavalry.com will instruct your chosen Freelancer to commence work on your project.

At all times you have the capability, via your dashboard, to manage and communicate the agreed set of deliverables milestones.

Once the job is satisfactorily completed, the final stages of the process will be to authorise payment of the fees when requested to, and to complete the process by rating the Freelancer on their overall performance against the set criteria.

Successfully completing the process to deliver your project will also earn you Loyalty Points, as OfficeCavalry.com rewards Project Owners not only for your ongoing commitment, but also for your recommendations and professionalism.

It is in both parties' interests not to communicate outside the dashboard as not only would this be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process, it will also risk that sub-standard work may be delivered, with no dispute process or payment warranty mechanism in place.

Registering is easy, just click on the 'Register' button and you will automatically be transferred to the registration page. You can register manually, or choose Facebook Connect to speed up the initial registration process and skip future logins onto our website.

Remember, until you have fully registered, you are unable to use all the tools to search and filter Freelancer candidates, enter your dashboard to use the functionality available or contact Freelancers.

Once registered, OfficeCavalry.com provides an instant messaging service via your dashboard that enables you to communicate back and forth in real-time with any Freelancers that you have selected. It allows a much better communication channel than posting a normal message via standard email services as the system is designed for users to progress swiftly through the interviewing process, dealing with questions, issues and supplying quick status updates to both parties. Instant messaging does not require both parties to formally coordinate times to meet, but allows for impromptu, rapid, natural and effective conversation focused on your particular project.

As a Project Owner you can use instant messaging to quickly interview potential Freelancers before you hire them and enter into a commercial relationship. Once you have selected a Freelancer to work on a project, you can use instant messaging to effectively communicate with them as the project progresses.

All communications during a project's duration must be operated exclusively via your dashboard and should remain both professional and relevant to the assignment at all times.

Once you are registered, you have total freedom to search, select and interview Freelancers and to choose the best candidates to deliver your project. There are no posting fees, advertising charges or finder's fees billed to Project Owners for these facilities. The only fee chargeable to the Project Owner is a minimal Transaction Management Fee, along with an optional fee to split the transaction payment, if selected.

You do not pay the Freelancer directly or by any other method outside the boundaries of OfficeCavalry.com. To do so would be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process.

Should you opt to use the Split Payment functionality, you would initially pay the full amount via your selected payment method into Escrow. An initial deposit of 25% of the project value will be the trigger to authorise the Freelancer to commence work on your assignment. On completion of the project, the remaining 75% will be paid to the Freelancer, only after the Freelancer has fulfilled the project requirements and you have signed off the agreed deliverables and provided appropriate authorisation to make payment.

Please Note: There may be additional payments levied by Transpact for non standard payments, in addition to the charges as defined on our Membership page. Should Transpact be your chosen payment method, then please visit Transpact.com via your dashboard for further details of any additional fees that may be levied when using the service.

Once you have registered and have been transferred to your dashboard, you can create a project at any stage by clicking on the 'Create a New Project' button. Here you can supply detailed information, as a Project Description, to give any prospective candidates a good overview of what you need in terms of timelines, specification and the budget you have allocated to the project. It is important that you provide accurate information to ensure you receive a positive response. A poorly specified project will lead to a poor response from Freelancers and could lead to misunderstanding and ultimately a dispute.

It is always best to use a simple, effective and straightforward title that will grab Freelancers' attention and indicates exactly what the project involves.

A detailed description of the project will offer Freelancers the best view of your requirements and enable them to give you accurate responses that they are capable of delivering your project, in terms of meeting the specification, working within the defined budget and delivering to the timelines set.

A good project description should include what work is required, some background about your organisation, what you are trying to achieve, when the project must be started and finished, and the deliverables. Thorough project descriptions tend to get much better responses from quality Freelancers, as it is clear what you require from them. Once you have short-listed potential candidates for your project, and you have shared a detailed specification of the work required, (optional to submit to candidates at the initial filtering stage), we recommend that you share this before the commercial 'handshake' is agreed to ensure that there is no ambiguity surrounding your requirements. There may be an interchange of information between you and your selected Freelancer, through your dashboard, to articulate more details relating to the defined scope.

Should you have some specific commercial terms in addition to OfficeCavalry.com's Terms and Conditions, then these will need to be clearly illustrated to ensure there is no misunderstanding once the project commences.

If you intend to post a project to a particular Cavalry, select the most appropriate one for your assignment. By selecting the correct Cavalry you will maximise the responses that you receive from appropriate Freelancers. Should you select the wrong Cavalry for your project, you will not receive relevant responses as the request will have been posted to the wrong Freelancers. Please take a moment to explore our sub-categories listed in each Cavalry and select the most appropriate Cavalry for your Project.

Should it be defined that the fees for a project will be split, or paid in two stages, then an initial payment of 25% of the project value will act as the trigger to authorise the Freelancer to commence work on the assignment. This can only be activated after the Project Owner has deposited the full amount of the project along with the associated fees, via the selected payment method into Escrow.

On completion of the project the remaining 75% of the project value will be paid, but only after the Freelancer has fulfilled the project requirements and you have signed off the agreed deliverables and provided appropriate authorisation to commence payment.

Split Payments can be detailed when submitting the initial project brief, and executed through your dashboard. There is a small charge related to a Split Payment, as detailed in the published tariffs.

Simply register, define a project and select 'Contact Freelancer' on your dashboard, or do the same after you have completed a search and filter of potential Freelancers.

OfficeCavalry.com allows the Project Owner to 'view and select' Freelancers and/or to post a project to categorised individuals to maintain the highest quality of candidate selection and to avoid a 'Dutch Auction' on price that ultimately drives down the standard of work.

Potential good matches can be posted to a shortlist where you will have the chance to deselect them, mark them as favourites, post your project details or interview them directly before progressing further with the assignment.

The management of the relationship between you and the Freelancer must be through your dashboard only. It is in both parties' interests not to communicate outside the dashboard as not only would this be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process, it will also risk that sub-standard work may be delivered, with no dispute process or payment warranty mechanism in place.

If you agree that you wish to extend a project beyond the original timelines or specification, you can go to your dashboard and request a project to be extended, after dialogue and agreement with the specified Freelancer. Simply supply the details of what you require the Freelancer to deliver in terms of new timescales, new or revised specifications and to what budget. It is important that you provide accurate information to make the extension of the project as simple as possible. Refer to 'What is the best way to write a Project Description when you create a project' for further details on the best way to define the scope when extending a project.

A poorly specified project extension will lead to a poor response from Freelancers in accepting your proposal. The fees charged for an extension of a project are the same as for any new project and will be managed via your dashboard and executed through your selected payment method into Escrow.

OfficeCavalry.com has implemented a pay-for-deliverables payment model, which we believe is the best model for establishing credibility with a new Freelancer. In this model, you pay funds into Escrow in advance to prove that you are able to pay, and then release the funds to the Freelancer once they have completed the project. The same process applies to the delivery of interim milestones when the project is delivered through the Split Payment process.

OfficeCavalry.com believes this is the most secure, efficient and affordable method, and provides you with peace of mind that the funds are only released when the Freelancer has successfully completed your project to your defined deliverables.

Should you choose Transpact as your payment method and have deposited funds into Escrow for your project and your selected Freelancer has not responded to your request to provide details of their forwarding bank account, then you may cancel the transaction after a period of 72 hours.

In order to cancel the transaction you need to login to Transpact via your dashboard, select the transaction you wish to cancel and click 'Cancel your Transaction' on the payment status page. There is a small charge to transfer your funds from Transpact to your originating bank account should you decide not to use the funds to engage another Freelancer to deliver your project. If you leave the funds in place and proceed with the assignment using another Freelancer, no additional fees with be levied.

If you have selected PayPal as your payment method, you will be charged the same Transaction Management Fee for moving money in and out of Escrow regardless of whether it is a Full or Split Payment project. The same timing rules apply, as per the Transpact method, should the transaction be cancelled.

You may only pay for projects via the defined Escrow Services. No other payment method is permitted.

If the Freelancer agrees to accept payment via any other method, both you and the Freelancer will be jointly and severally liable for the fees owing to OfficeCavalry.com as well as for all costs of recovery. OfficeCavalry.com reserves the right to recover any costs via the courts.

You may not directly or indirectly solicit nor attempt to solicit a Freelancer to accept a project, (or any other type of work), outside of OfficeCavalry.com. If you breach this provision you shall immediately pay to OfficeCavalry.com a fee of £1000.00 (in respect of each breach).

If both parties agree to changes in any specific details of a Project that impacts the specification, timescales or budget, then we would strongly recommend that new deliverables are agreed and added to the scope of the project via each party's dashboard. This would then alter the terms of the existing contract between you and the Freelancer, with respect to that amendment, and will ensure that there is no dispute raised when it comes to the settlement of fees.

You can raise a new project and follow the normal process as defined in 'How does it work?'

After completing a project, you will be asked to rate the Freelancer. This is a great way for a Freelancer to build up a reputation for quality service, or alternately to receive a review for unsatisfactory work.

We would greatly appreciate you leaving a review after every project as it gives other Project Owners more information when making a decision for future projects, and can ultimately only add further quality to the OfficeCavalry.com service. The rating is also used as a means for Project Owners to filter Freelancers whilst reviewing candidate profiles.

You simply click on the star ratings and leave a short review about the Freelancer's performance as you experienced it. Remember, successful completion of a rating also earns you Loyalty Points.

However, when searching for potential candidates, bear in mind that a low rating does not necessarily mean that the Freelancer should not be selected for a project. It could be that the Freelancer is just starting out. Communicating with a Freelancer via your dashboard will soon determine this.

Once the job is satisfactorily completed and settlement of fees has been made, we recommend that the Freelancer takes the time to rate you, the Project Owner, on your overall performance against the set criteria. This will assist other potential Freelancers in the community in reviewing the performance of past projects by you and other Project Owners, as well as acting as a reference when reviewing your details regarding potential new projects.

Freelancers simply click on the star ratings and leave a short review about your performance as they experienced it. Remember, successful completion of a rating also earns Freelancers Loyalty Points.

OfficeCavalry.com will reward you not only for delivering quality feedback, but also for your ongoing commitment, recommendations and professionalism. As a Project Owner your accumulated Loyalty Points will convert to 'real money' that we will pay to you via bank transfer when you request us to redeem them, as the points totalled, surpass the threshold stated.

If you believe that you can no longer work with the Freelancer or the project has not been delivered to the agreed standards, then a dispute can be flagged. A dispute can be raised through your dashboard, but it is strongly recommended that you communicate your dissatisfaction with the Freelancer prior to this in an effort to reach a satisfactory solution.

OfficeCavalry.com can only assist you with resolving a dispute if you use our Freelancer Service Agreement. If you have imposed your own terms and conditions on the supply of the Freelancer's services we cannot arbitrate, should a dispute arise.

If the dispute is logged, OfficeCavalry.com will be notified. If the dispute is not resolved through self-mediation, OfficeCavalry.com will act as the arbitrator, based on the facts drawn from each party's dashboard and through communication with the Project Owner and the Freelancer, in accordance with OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process.

To take a dispute to arbitration, OfficeCavalry.com will charge a fee of £20.00, which will be paid by each disputing party via credit/debit card via RBS WorldPay.

After a comprehensive investigation, a decision will be implemented by OfficeCavalry.com and both parties will be informed of the decision. The winner of the dispute will be reimbursed their initial £20.00 fee, being credited back to the credit/debit card of origin.

It is in your interests to ensure that:

  • Your project requirements are carefully written. If they are vague, then it is more likely that whatever the Freelancer has delivered will satisfy those requirements. For example if your requirements are 'design a logo for our business', then ANY logo that the Freelancer produces will be adequate from the perspective of a dispute.
  • All communication between you and the Freelancer is logged on the dashboard. Under the terms of our Dispute Resolution Process we will not consider nor read anything that is not sent through the message application on the dashboard.
  • All communication between you and the Freelancer remains strictly factual and professional.
  • Both parties have met the commercial obligation as defined in OfficeCavalry.com's Terms and Conditions.

Please note that although we use the term arbitrator here, we do not consider ourselves an arbitrator for the purposes of the UK Arbitration Act and nor do we accept appointment as such. Our decision is limited to the release of funds from Escrow back to you or to the Freelancer. Our decision is not subject to appeal through OfficeCavalry.com but you always have the right to take the Freelancer to Court should you consider it necessary to do so.

Remember, a dispute could impact your ratings.

You must be at least 18 years of age to be a Project Owner registering on OfficeCavalry.com.

If you are joining OfficeCavalry.com as a representative of a business, you must have the authority of the owner of that organisation to represent it on OfficeCavalry.com.

By avoiding the 'Dutch Auction and lowest bid wins' approach, OfficeCavalry.com delivers a market place that allows Freelancers to submit high standards of work that is not suppressed by the Project Owners acceptance of low fee based on poor or inadequate bid submissions, as defined by the tradition models used in the industry.

OfficeCavalry.com has implemented bespoke search engine functionality with advanced algorithms to assist the Project Owner, through filtering processes, to select the best available candidates for their required assignment. This negates you from having to bid to establish your credentials as a potential candidate and also ensures that the Project Owner does not get free consultancy at your expense.

It is our aim to empower you to only engage in projects that you think you are capable of executing as they fall within the parameters you have set within your profile, and match the search criteria made by the Project Owner identifying you. This will ensure that you maximise your earning potential.

However, this can only be achieved through a process of quality registration that accurately represents your profile, job function, self-assessment of skills, CV, level of experience, past projects, overall rating and showcase, to the highest quality to ensure that you are recognised by potential Project Owners.

Even when you have been selected by a Project Owner, you can influence the process, by using your dashboard tools to discuss and agree the parameters for delivering an assignment to the Project Owner's requirements.

Commercially, once a 'handshake' has been agreed, you will be in a position to commence work on the project. However, this can only be achieved once you have both followed the OfficeCavalry.com payment service process and the Project Owner has deposited the agreed funds into Escrow. It is at this stage, when funds are cleared, that OfficeCavalry.com will instruct you to commence work on the project.

At all times you have the capability to manage the defined deliverables and milestones with the Project Owner, via your dashboard.

Once the assignment is satisfactorily completed, the final stage of the process is to receive payment of your fees from the Project Owner via Escrow. Once you have received them in your bank account, OfficeCavalry.com will request that you complete proceedings by rating the Project Owner on their overall performance against the set criteria.

Successfully completing the process to deliver the project will also earn you Loyalty Points, as OfficeCavalry.com rewards Freelancers not only for your ongoing commitment, but for your recommendations and professionalism.

It is in both parties' interests not to communicate outside the dashboard as not only would this be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process, it will also avoid the risk that sub-standard work may be delivered with no dispute process or payment warranty mechanism in place.

OfficeCavalry.com has developed the concept of 6 Cavalries, which can best be described as specialist hubs, each with targeted skills relating to particular job categories. If you have mistakenly registered to a particular Cavalry and find that your skills are best presented in an alternative area, then please use the ‘Contact Us’ page and advise us accordingly. We can then re-register you to your required Cavalry of preference.

OfficeCavalry.com's search algorithms focus on ensuring that Project Owners find Freelancers with particular skills quickly and accurately by searching for the required expertise in a particular Cavalry. Freelancers with skillsets that may be appropriate to more than one Cavalry would need to register several accounts on OfficeCavalry.com using a different email address for each Cavalry listing.

It also allows a much better communication channel than posting messages via standard email services, as the system is designed for users to progress swiftly through the interviewing process, dealing with questions, issues and supplying quick status updates to both parties. Instant messaging does not require both parties to formally coordinate times to meet, but allows for impromptu, rapid, natural and effective conversation focused on your particular project.

As a Freelancer you can use instant messaging to impress a Project Owner during the interview process and to clarify the project requirements. Once you have been chosen and a 'handshake' has been agreed, you can use the system to more effectively communicate with the Project Owner about the defined project.

There are a number of fees relevant to a Freelancer to use OfficeCavalry.com and they are dependant on the type of membership chosen when registering (either Standard or Pro). The fees will also be dependant on the Project Owner choice of payment (Full or Split) and the payment method selected to pay funds into and out of Escrow.

There are two types of registration for Freelancers; Standard Membership and Pro Membership.

Should you choose Standard Membership, your registration is totally free.

Pro Membership carries a small weekly charge that in return provides a range of added features and benefits not afforded by the standard registration, including reduced commission charges and more freedom when developing your profile.

You should remember that the better the content and more time taken constructing your profile for both Standard and Pro Membership, the more visible you will become to potential Project Owners.

Once you have completed the registration process, you can enter the profile building section to generate a high quality résumé that presents your capabilities, past jobs and assignments, self-assessment of skills, CV, level of experience and showcase of prior projects or expertise.

OfficeCavalry.com strongly recommends that you take time to build an accurate and high quality profile to ensure that you are recognised by potential Project Owners.

You get recognised by ensuring that your registration and profile is always up to date, and that your ratings, skills and experiences are maintained to the highest quality. Remember, sound first impressions will make it more likely that Project Owners will shortlist you for their project or request an interview.

In this model, the Project Owner Escrows the funds in advance to prove that they are able to pay, and then releases them to you once you have completed the project. The same process applies to the delivery of interim milestones when the project is delivered through the Split Payment process.

OfficeCavalry.com believes this is the most secure, efficient and affordable method, and provides the Freelancer with peace of mind that the funds are being held securely and released when the assignment has been successfully delivered to the agreed requirements.

Project Owners may only pay for projects via our defined Escrow Services. No other payment method is permitted.

If you agree to accept payment via any other method, both you and the Project Owner will be jointly and severally liable for the fees owing to OfficeCavalry.com as well as for all costs of recovery. OfficeCavalry.com reserves the right to recover any costs via the courts.

If you accept any such solicitation from a Project Owner, you shall immediately pay to OfficeCavalry.com a fee of £500.00 (in respect of each such solicitation accepted). By agreeing to OfficeCavalry.com's Terms and Conditions you irrevocably authorise us to debit any card or other payment method stored with OfficeCavalry.com, should you breach this term.

If you receive any such solicitation from a Project Owner requesting you to work outside the boundaries of OfficeCavalry.com, you should promptly inform OfficeCavalry.com and provide written evidence of such a solicitation. By providing this information, you may be entitled to a reward for demonstrating your honesty and loyalty.

On recovery of any fees from the defaulting Project Owner, OfficeCavalry.com will pay you 25% of the fee recovered as a reward for your honesty and loyalty.

Remember, it is in both parties' interests not to communicate outside the dashboard as not only would this be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process, it will also risk that sub-standard work may be delivered with no dispute process or payment warranty mechanism in place.

If both parties agree to changes in any specific details of a project that impacts the specification, timescales or budget, then we would strongly recommend that new deliverables are agreed and added to the scope of the project via each party's dashboard. A Project Owner is ultimately responsible for raising a new project and driving the process once you have agreed to the requested changes.

After completing a project, you will be asked to rate the Project Owner based on important information that other Freelancers in your community should be aware of. We would really appreciate you leaving a review after every project as it gives other Freelancers more information in making a decision for future projects, and can ultimately only add further quality to the service you look for using OfficeCavalry.com.

To rate a Project Owner, you simply click on the star ratings and leave a short review about the Project Owner's performance as you experienced it. Remember, successful completion of a rating also earns you Loyalty Points.

OfficeCavalry.com will reward you not only for delivering quality feedback, but also for your ongoing commitment, recommendations and professionalism. As a Freelancer, your accumulated Loyalty Points will convert to 'real money' in the form of Pro Membership or an extension to your current Pro Membership term.

If you believe that you can no longer work with the Project Owner or the communication and deliverable channels have failed beyond repair, then a dispute can be flagged. A dispute can be raised through your dashboard, but it is strongly recommended that you communicate your dissatisfaction with the Project Owner prior to this in an effort to reach a satisfactory solution.

OfficeCavalry.com can only assist you with resolving a dispute if the Project Owner has used our Freelancer Service Agreement. If they have imposed their own terms and conditions on the supply of your services, and you have accepted, we cannot arbitrate, should a dispute arise.

If the dispute is logged, OfficeCavalry.com will be notified. If the dispute is not resolved through self-mediation, OfficeCavalry.com will act as the arbitrator, based on the facts drawn from each party's dashboard and through communication with the Freelancer and the Project Owner, in accordance with OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process.

  • Both parties have met the commercial obligation as defined in OfficeCavalry.com's Terms and Conditions.

Our decision is limited to the release of funds from Escrow back to you or to the Project Owner. Our decision is not subject to appeal through OfficeCavalry.com but you always have the right to take the Project Owner to Court should you consider it necessary to do so.

You must be at least 18 years of age to be a Freelancer registering on OfficeCavalry.com.

If you are joining OfficeCavalry.com as a representative of a business, you must have the authority of the owner of that organisation to represent it on OfficeCavalry.com.

OfficeCavalry.com has selected a number of payment methods to ensure maximum security and assurances at all times.

Should you opt to register with a Pro Membership, you will be required to use a credit/debit card to pay your membership fee utilising RBS WorldPay. The same method of payment will be used should you be forced to raise a dispute whilst a project is being delivered.

PayPal and Transpact have been selected as the prime method for the payment in and out of Escrow.

As with all monetary transactions on OfficeCavalry.com you will be guided via your dashboard. Upon entering RBS WorldPay Services, the payment process is similar to any e-commerce shopping basket experience and wherever possible data fields will be pre-populated. Just fill out the user information as requested to authorise payment with your method of choice, be it credit or debit card.

Once payments have been made, following security verification, the appropriate invoicing and payment confirmation documentation will be produced by OfficeCavalry.com, incorporating any relevant VAT/local taxes to complete the transaction process.

The following information is provided as a snap-shot to help the Project Owner determine which payment method best fits with their business requirements and needs.

At any stage when using any of our payment method, you may be asked to verify your identity in addition to any security checks that take place automatically. Should we find any encroachment of our rules or OfficeCavalry.com's Terms and Conditions for the use of our service, our Legal and Fraud Team may report the matter instantly to the relevant authorities for investigation, without prior notice.

As part of the selection process to locate the best suited candidate to deliver an assignment, the Project Owner, (as the payer of the fees), will select the payment method that best suits their business needs and particular project requirements.

Once a commercial 'handshake' has been made between the Project Owner and the Freelancer, both parties will migrate from their respective dashboards into the chosen payment method process, be it PayPal or Transpact, as a means of paying into Escrow, where they will be guided through the payment process.

PayPal is a recognised ecommerce service that is fast and easy to use and enables secure credit/debit card payments to be achieved, following stringent validation and approval checks.

When both parties have made a commercial 'handshake' on OfficeCavalry.com, the first stage in the payment process will commence once the Project Owner has confirmed that the Freelancer has been formally hired. The Project Owner will then follow the links on their OfficeCavalry.com dashboard and will be diverted to PayPal to enter a secure registration or login page.

Once registration or login has taken place, the Project Owner will verify the account details relating to the method of payment, billing address, etc. All the details relating to the payment required, as stipulated through OfficeCavalry.com by the Project Owner, will be pre-populated.

After these details have been confirmed, the Project Owner will be automatically transferred back to their OfficeCavalry.com dashboard to confirm that they wish the project to commence and the funds transfer to be actioned. The payment confirmation is then initiated. When authorisation is confirmed, after stringent validation and approval checks, which can take up to 36 hours, the Project Owner is advised that the Freelancer will be instructed to commence the assignment as funds have cleared to Escrow.

The Freelancer is then notified that they are able to start the project, by receipt of an email from PayPal, confirming that when funds are cleared they must follow the supplied instructions on how to access the funds via a PayPal Account. If the Freelancer does not have a PayPal Account, they are instructed on how to apply for and set up a personal account. It should be noted that should the Freelancer be in possession of a PayPal account that is not aligned with their OfficeCavalry.com login email address, they can simply add it via their PayPal dashboard. When either of these simple set up routes are completed, the Freelancer will be able to receive funds for completed work from Escrow.

If the project is denoted as a Split Payment project, the notification to the Freelancer will automatically trigger a payment of 25% of the assignment value, with the remaining 75% being paid upon completion. Should the project be denoted as a Full Payment project, then the funds will only be transferred to the Freelancer when the Project Owner confirms that the project is completed.

With both Full Payment and Split Payment options, all relevant fund transfer fees and commissions will be applied to the project value. Please review our Membership page for relevant details of our tariffs when using PayPal to facilitate any transaction via OfficeCavalry.com.

Finally, after all payments have been made, following security verification, the appropriate invoicing and payment confirmation documentation is produced by OfficeCavalry.com, incorporating any relevant VAT/local taxes to complete the transaction process.

Transpact is an extremely secure way to ensure inter-bank transactions are completed quickly and efficiently. There are a number of steps that need to be actioned in order to verify banking details and to ensure the safe and secure transfer of funds.

Note: As a first time user of Transpact, both the Project Owner and the Freelancer will not only be required to confirm bank details of where payments are being made from or transferred to, but they will also be requested to make a single transaction from the originating and registered bank to Transpact for the sum of £0.01 as an extra security measure. Should your bank not allow a payment to the value of £0.01, you may need to increase the value to the minimal threshold as defined by your particular bank. Once the inter-bank transfer link has been established, all validation funds paid will be refunded in full to the bank account of origin.

When both parties have made a commercial 'handshake' on OfficeCavalry.com, the first stage in the payment process will commence once the Project Owner has confirmed that the Freelancer has been formally hired. The Project Owner will then follow the links on the OfficeCavalry.com dashboard and will be diverted to Transpact onto a secure registration or login page, (dependant on whether they have previously registered with the service).

Once registered or login has been completed, the Project Owner will verify the project that requires a transaction, from the master 'summary page' and will be instructed that the full amount plus any Transaction Management Fees need to be paid into Escrow before the project can commence. A Project Owner can have multiple projects running, so it is extremely important that they identify specifically which project they are addressing. If the Project Owner has agreed that the project will be paid via the Split Payment process, additional Transaction Management Fees will be automatically added to the required payment.

If the Freelancer is new to Transpact, it is at this point that they will be requested to verify where any payments for the Project, (after commissions and transfer fees have been deducted), will be paid, by making a £0.01, (or appropriate), payment from the receiving bank account. This action validates the payment path from Escrow to the Freelancer's account and will only be required once unless the bank details are altered. (Refer to Transpact.com for further details).

Note: OfficeCavalry.com strongly recommend that all using parties set up online or telephone banking before embarking on Transpact as traditional banking methods will only cause delays.

When the fees being paid into Escrow are cleared, the Project Owner will be guided via their OfficeCavalry.com dashboard to Transpact again and requested to trigger any payments due to the Freelancer by making a further payment of £0.01, (or appropriate), payment from the bank account of origin.

This process will be required once only for a project denoted as a Full Payment project and twice for a project denoted as a Split Payment project. On a Split Payment project, 25% of the assignment value will be paid initially to commence the project, with the remaining 75% being paid upon completion. With both these partial payments, all relevant fund transfer fees and relevant commissions will be added to the partial project value. At each stage, the Project Owner will be guided by their OfficeCavalry.com dashboard to make the payment when certain deliverables are met as per the 'handshake' agreement.

Once payments have been made, following security verification, the appropriate invoicing and payment confirmation documentation is produced by OfficeCavalry.com, incorporating any relevant VAT/local taxes to complete the transaction process.

A Project Owner can define, as part of the Project Scope, to either pay in full upon completion of the project, or to make two split payments.

Should a Project Owner define that the fees for a project will be split, (paid in two stages, with initial payment of 25% of the project value), then the initial payment will be the trigger to authorise the Freelancer to commence work on the project. This can only be activated after the Project Owner has deposited the full amount of the project value into Escrow using their payment method of choice.

On completion of the project, the remaining 75% of the project value will be paid, only after the Freelancer has fulfilled the project requirements and the Project Owner has signed off the agreed deliverables. This can be detailed in the initial project brief, and executed through the respective dashboards. There is a small charge relating to Split Payments, as detailed in the published tariffs.

Payment to a Freelancer from a Project Owner will only be authorised by OfficeCavalry.com when the requirements stipulated within the Project Scope have been successfully completed and delivered.

Project Owners may only pay for projects via our defined Escrow Services. No other payment method is permitted. If the Freelancer agrees to accept payment via any other method, both the Project Owner and the Freelancer will be jointly and severally liable for the fees owing to OfficeCavalry.com as well as for all costs of recovery. OfficeCavalry.com reserves the right to recover any costs via the courts.

Project Owners may not directly or indirectly solicit nor attempt to solicit a Freelancer to accept a project, (or any other type of work or appointment), outside of OfficeCavalry.com. If a Project Owner breaches this provision they shall immediately pay to OfficeCavalry.com a fee of £1000.00, (in respect of each breach).

If the Freelancer accepts any such solicitation from a Project Owner, they shall immediately pay to OfficeCavalry.com a fee of £500.00, (in respect of each such solicitation accepted). By agreeing to OfficeCavalry.com's Terms and Conditions the Freelancer irrevocably authorises us to debit any card or other payment method stored with OfficeCavalry.com, should they breach this term.

If a Freelancer receives any such solicitation from a Project Owner requesting them to work outside the boundaries of OfficeCavalry.com, they should promptly inform OfficeCavalry.com and provide written evidence of such solicitation. By providing this information, they may be entitled to a reward for demonstrating their honesty and loyalty.

On recovery of any fees from the defaulting Project Owner, OfficeCavalry.com will pay the Freelancer 25% of the fee recovered as a reward for honesty and loyalty.

Remember, it is in both parties' interests not to communicate outside the dashboard as not only would this be a direct breach of OfficeCavalry.com's Terms and Conditions and Dispute Resolution Process, but no dispute process or payment warranty mechanism would remain in place.

If both parties agree to extend a project beyond the original timelines or specification, in essence, a new project is defined, although linked to the original project. The charges related to an extension of a project are the same as for any new project and will be managed via your dashboard and executed through the selected payment method choice of either PayPal or Transpact.

Value Added Tax and/or any other local sales tax, are taxes that are due on the supply of services by the Freelancer to the Project Owner in respect of the project. It is each party's responsibility to declare their own tax status when using OfficeCavalry.com.

OfficeCavalry.com can not be held responsible for any party for not declaring their tax status to the other when using the service. Invoices generated will show VAT/local taxes only if the rate has been specified appropriately.

OfficeCavalry.com is a service based on integrity, quality and value and as such believes that if certain commercial and defined operational parameters are met or exceeded, then Freelancers will be paid in full for the delivery of defined projects.

There are a number of key check points that should be observed at all times:

  • Both parties should agree to a clear set of commercial parameters, not limited to but inclusive of the scope of the project, the timelines, fees and what the deliverables are. This is defined as the commercial 'handshake'.
  • Freelancers should not commence a project unless OfficeCavalry.com has instructed them accordingly.
  • The Freelancer should deliver to the defined parameters of the commercial 'handshake' and only deviate from this if there is communication and agreement between both parties via their respective dashboards to do so.
  • OfficeCavalry.com has raised the respective invoice for the project based on the information extrapolated from the dashboard.
  • No dispute has been lodged by either party during the project.
  • Both parties have met the commercial obligation as defined in OfficeCavalry.com's Terms and Conditions.

If these simple rules are followed, the Freelancer will be guaranteed to be paid in full for the work completed.

All communication between the Project Owner and the Freelancer must be via the dashboard and in English. OfficeCavalry.com will not consider nor read anything, should a dispute arise during the execution of a project, if the communications are written in any other such language.

OfficeCavalry.com respects your privacy at all times. We collect, store and use personal data exclusively within the scope of our legal provisions and service. We use your information only with your consent for supporting and expanding our business relationship with you, such as offering you an additional range of facilities or for providing you with offers and information about new services.

We do not sell your personal information to third parties. In accordance with our legal provisions, we only make personal data available to organisations which do not belong to OfficeCavalry.com with your consent. These organisations are obliged to adhere to our contractually agreed duties towards you and to commit to our data protection policy. (Service providers acting on behalf of OfficeCavalry.com are not deemed to be third parties). You can also enquire with OfficeCavalry.com at any time as to which personal data concerning you has been stored. You always have the option of having this data corrected or deleted. OfficeCavalry.com is a UK centric operation based in England and operates under English law. However, we are able to accept Freelancers and Project Owners from many countries.

To make use of the Payment Service offered by Transpact you must have a bank account in the EU, Argentina, Australia, Brazil, Canada, Hong Kong, Japan, Mexico, New Zealand, Norway, Singapore, Switzerland or the United States of America.

We are constantly developing our arrangements so that further countries can be added to the service offered via Transpact.

With PayPal, you can send and receive payments securely to more than 190 countries in multiple currencies as follows: Pounds Sterling, Euros, US Dollars, Australian Dollars, Brazilian Real*, Canadian Dollars, Czech Koruna, Danish Krone, Hong Kong Dollars, Hungarian Forint, Japanese Yen, Malaysian Ringit*, Mexican Peso, Norwegian Krone, New Zealand Dollars, Polish Zloty, Philippine Peso, Singapore Dollars, Swedish Krona, Swiss Francs, Taiwan New Dollars, Thai Baht.

As part of the Project specification the Project Owner will define where the Freelancer should work to deliver the project. It is both parties' responsibility to agree the location for the work, prior to the commercial 'handshake'.

If the Freelancer is to work on the assignment at the Project Owner's premises, they must have all the necessary insurances and health and safety consents in place as a pre-requisite to commencement of work.

The best way to tell others about OfficeCavalry.com is to 'Recommend a Friend'. Not only can you inform businesses, colleagues and friends about OfficeCavalry.com, but you will also earn additional loyalty points that convert to monetary credits for Project Owners and for new or extended Pro membership terms for Freelancers.

Should you at any time wish to terminate your relationship with OfficeCavalry.com, select the 'Support' function on your dashboard and follow the instruction via the 'Profile Termination' tab.

IMPORTANT: Once you have deleted your account, OfficeCavalry.com cannot recover any data. Should you wish to enter the OfficeCavalry.com site at a future date, you will be required to register your details again.
